MAIN FIRE STATION RENOVATIONS AND ADDITIONS

The Mayor and Board of Aldermen of the City of Holly Springs, Mississippi, will receive sealed bids for the Main Fire Station Renovations and Additions.

A Mandatory Pre-Bid Conference will be held on Thursday, January 5, 2023, at 10:00 AM (CST) at the City of Holly Springs Main Fire Station, located at 127 West Falconer Avenue, Holly Springs, Mississippi 38635. Site visits to the Main Fire Station will take place after the Pre-Bid Conference.

Sealed bids will be received at the City of Holly Springs City Hall, located at 160 South Memphis Street, Holly Springs, Mississippi 38635, until 5:00 PM (CST), on Tuesday, January 17, 2023. The Bids will then publicly be opened and read aloud in the regular scheduled Board of Alderman Meeting, shortly thereafter.

Electronic Bids will also be accepted until 5:00 PM (CST), on Tuesday, January 17, 2023, by electronic submission as a PDF file at www.imsengineersbids.com. Each bidder submitting a bid electronically shall include a cover document titled Bid: MAIN FIRE STATION RENOVATIONS AND ADDITIONS and shall list the bidder's Certificate of Responsibility Number as part of its PDF bid submittal. Any electronic PDF bid that does not include the bidder's Certificate of Responsibility Number shall not be considered.

A cashier’s check or bid bond payable to the City of Holly Springs, in the amount not less than five percent (5%) of the amount of the bid, but in no event more than ten thousand dollars ($10,000.00,) must accompany the bidder’s proposal.

A one hundred percent (100%) each Performance and Payment Bonds issued by a surety company authorized to do business in the State of Mississippi will be required within ten (10) days after the successful bidder has been notified of the award of the contract.

Electronic files of the Contract Documents may be viewed online on the IMS Engineers Planroom at www.imsengineersbids.com. PDF and Hard copy sets of Contract Documents are also available for purchase on the IMS Engineers Planroom at the contractor’s expense.

An official list of bidders will be maintained at www.imsengineersbids.com to ensure eligibility requirements of the bidder are met prior to bid opening. Any bid submitted from a bidder not on the official bidders list and/or not containing the above information will not be opened.

It is in the best interest of all potential bidders to visit the project site to understand the scope of work, the existing conditions and where the work will be performed. Appointments in addition to the Pre-Bid Conference to visit the project site must be requested in writing and arranged in advance through the City of Holly Springs Fire Department. Bids are to be submitted on the Bid Form provided in the Specifications. Segregated Bids will not be accepted.

All bids submitted in excess of fifty thousand dollars ($50,000.00) by a Prime or Subcontractor to do any erection, building, construction, repair, maintenance, or related work must comply with the Mississippi Contractors Act of 1985, by securing a Certificate of Responsibility from the State Board of Contractors.

The following information must appear on the outside or the exterior of the envelope containing the bid. No bid shall be opened or considered unless the following is noted on the outside or the exterior of the envelope containing the bid:

• Name of Bidder

• Address and Phone Number of Bidder

• Name of Project for which Bid is submitted

• Certificate of Responsibility/Contractor’s State License Number

• Expiration Date of License

• The Portion of Classification of Bidders License that Applies to this Project

Your bid will be required to be submitted under a condition of irrevocability for a period of thirty (30) days after submission.

The City of Holly Springs reserves the right to waive any and all informalities and/or to reject any or all bids, and to make an award in any manner consistent with Mississippi Law, deemed to be in the interest of the City.
